Studio and workflow

When you don't work alone, you need to see who is shooting what, what has been delivered and what is running late. Studio lets several photographers work in one Welepix plan, and gallery stages, deadlines, tasks and templates make sure no job gets lost.

Studio: a team of photographers

Turn Studio on in Settings, under "Integrations". It comes with the Plus and Pro gallery plans.

  • Invite by e-mail. The photographer gets an e-mail, signs in with their own Welepix account and works in your studio's plan and space.
  • One licence per photographer. You pay only for the days left in your plan, then it renews together with the plan.
  • Rights per photographer. Choose what each one can use (gallery, storage, guest gallery), how much space and whether they can delete.
  • Three access levels. "Own work only", "Sees the whole studio" or "Manages the whole studio". Photographers never see the studio's plan, payments or settings.
  • Workspace switcher. A photographer with a plan of their own switches between their own space and the studio in one click.

Handing work over and the activity log

Hand a gallery, storage folder or guest event over to another photographer. When someone leaves, all their work moves in one step. The activity log shows who created links for clients, what was deleted and who joined, and the summary shows how much space each photographer uses.

Gallery stages and deadlines

Every gallery has a stage: Shot, Waiting for selection, Editing, Delivered. It moves on by itself:

  • After you upload photos the gallery becomes "Shot".
  • After you share a selection it is "Waiting for selection", and once the client has picked it turns to "Editing".
  • After you share the final photos it is marked "Delivered".

The "Deliver by" field adds a deadline. The card shows how many days are left or how late you are, the dashboard lists every job with a deadline, and you get a reminder the day before and when it's late.

Tasks

On any gallery, write down what needs doing and assign it to yourself or another photographer, e.g. "Redo the retouch on 3 shots". They get a notification, and when the task is marked done, you do.

Gallery templates

If every session gets the same folders, save them as a template. Pick the template when creating a gallery and the folders, selection, stage and deadline fill in by themselves.
